This Privacy Policy explains how ExperiencesHK and Camptopia collect, use, store, retain, and protect personal data provided through this website and event registration, in accordance with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong (“PDPO”).

We collect personal data that is voluntarily supplied during registration or inquiry processing. This may include your full name, mobile contact number, email address, university affiliation, student society or association, organizational role or title, mandatory dietary constraints, and any extra logistical records you share with us.
2. Purpose of Collection and Statement of Use
Personal data collected will be handled strictly for operational fulfillment. This includes:
- Processing transactional event registrations and payments securely.
- Communicating crucial event agendas, schedules, safety rules, and attendance criteria.
- Coordinating necessary event-day site logistics, such as point-to-point shuttle transport routing.
- Optimizing on-site setup flow, catering allocations, and venue safety management.
3. Operational and Transactional Communications
By validating an event registration, you acknowledge that you will receive transactional email and WhatsApp updates directly linked to your booking. These updates include event itineraries, emergency schedule modifications, routing updates, or security deposit management instructions.
4. Direct Marketing Controls
In accordance with Part 6A of the PDPO, we will not use your personal data for direct marketing purposes (such as promotional news regarding future curated experiences or brand updates) unless we have received your explicit, affirmative opt-in consent. If you grant consent, you retain a statutory right to opt out of marketing distribution loops at any time without charge.
5. Data Disclosure and Transfer Limitations
We strictly enforce a zero-sale policy on personal records. Your personal data will not be sold, traded, or shared with external third-party advertisers. Data transfer is strictly limited to authorized logistics operators (e.g., shuttle bus service providers) and event safety coordinators, and only to the minimal degree required to execute your booked service safely or to comply with statutory legal demands.
6. Storage, Protection, and Data Retention
We implement practical physical, digital, and management protections to isolate your files against unauthorized access or structural data leaks. Under Hong Kong Data Protection Principles, personal records will only be retained for the minimum amount of time required to satisfy operational and legal audit constraints, after which they will be permanently purged or anonymized.
7. Data Access and Correction Rights
Under the PDPO, you possess a statutory right to check if we hold your personal files, request a copy of those records, or instruct us to correct any inaccuracies.
